Finance & Operations Director Job Description

PFC seeks to hire a Finance & Operations Director to be a strategic thought-partner who is hands-on and participative, with the ability to lead and develop an internal team to support the following areas: finance, business planning and budgeting, human resources, administration, and IT.

Job Description: The Finance & Operations Director is responsible for overseeing the financial and administrative operations of PFC including budget management, financial reporting, monitoring cash flow, developing and maintaining best practices and internal controls for company finances and operations, human resources functions, and computer and technical systems management. The Finance & Operations Director works alongside and reports to the Executive Director (ED).

Responsibilities:
The Finance & Operations Director will play a critical role in partnering with the Executive Director and Farm Director in strategic decision making and operations as Providence Farm Collective continues to strengthen its programs and build staff capacity.

Finance Management

  • Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly and annual financial statements; oversee all financial, project/program and grants accounting.
  • Coordinate and lead the annual audit process; liaise with external auditors, the Board Treasurer, the Finance Committee, and the Board of Directors; assess any changes necessary.
  • Oversee and lead annual budgeting and planning process in conjunction with the ED; administer and review all financial plans and budgets; monitor progress and changes; and keep Senior Leadership Team and Board of Directors abreast of the organization’s financial status.
  • Manage organizational cash flow and forecasting.
  • Implement a robust contracts management and financial management reporting system; ensure that the contract billing and collection schedule is adhered to, and that financial data and cash flow are steady and support operational requirements.
  • Update and implement all necessary business policies and accounting practices; improve the finance department’s overall policy and procedure manual.
  • Effectively communicate and present the critical financial matters to the Board of Directors.

Human Resources, Technology and Administration

  • Oversee the Office Manager’s work with ESC to provide human resources services and administration, enhancing staff professional development, compensation and benefits, performance evaluation, training, and recruiting.
  • Work closely and transparently with all external partners including third-party vendors and consultants.

Specific responsibilities include:

  • In collaboration with the ED, oversee financial operations including execution of financial strategies and processes including annual operating budget, annual audits, and CHAR 500 and 990 tax preparation.
  • Serve on the Senior Leadership Team guiding management and oversight for office operations, policy development and implementation.
  • Coordinate financial functions, including banking, investments and investment strategies, and preparation of monthly financial reports in accordance with General Accepted Accounting Principles (GAAP).
  • Manage contract commitments and expenditures to ensure consistency with budgeting.
  • Oversee employee recruitment and onboarding with staff and contractors as appropriate.
  • Provide support to the Executive Director for overall operations.
  • Provide support to the organization’s Board of Directors, including support to the Finance Committee and Board Treasurer, as well as support for full board and committee meetings.
  • Manage the organization’s accounting procedures.
  • Oversee management and maintenance of office space, equipment, computer technology, inventory and supplies.
  • Ensure compliance with all required agencies and groups.
  • Supervise finance and operations staff, including full-time, part-time and contract staff.

Essential skills and experience include the following:

  • Management experience supervising staff, managing budgets, and effectively handling multiple priorities and projects
  • Excellent communication skills
  • Proven ability to build and nurture a diverse, respectful, and positive working environment and to coach supervisees, as well as peers
  • Strong understanding of accounting and office operations and procedures, including human resources, payroll, bookkeeping, contract management, and compliance with federal, state, and local regulations and laws related to nonprofit corporations
  • Demonstrated ability to work with financial management, budgeting, and administrative systems, annual audits, Form 990 and CHAR 500 processes, and other nonprofit financial processes and requirements
  • Demonstrated ability to work well with a diverse Board of Directors, committee members, staff and farm community
  • Relevant advanced credentials, including an MBA, CPA or commensurate experience

Qualifications

  • Minimum of a BA, ideally with an MBA/CPA or related degree
  • At least 10 years of overall professional experience; ideally six-plus years of broad financial and operations management experience
  • The ideal candidate has experience of final responsibility for the quality and content of all financial data, reporting and audit coordination for either a division or significant program area, and has preferably overseen a human resources function in prior work experience
  • Ability to translate financial concepts to – and to effectively collaborate with – programmatic and fundraising colleagues who do not necessarily have finance backgrounds
  • Experience with and understanding of grants management
  • Knowledge of accounting and reporting software and experience using QuickBooks
  • A successful track record in setting priorities; keen analytic, organization and problem-solving skills which support and enable sound decision making
  • Excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders

Compensation:

Salary is $90,000.00 – $100,000.00, commensurate with work experience, plus benefits, including 5 paid sick days, 25 paid vacation days, individual health and dental plans, 401k, and moderate flexibility in work hours.
